Everyday you are receiving numerous calls through your land line or your mobile phone. Speaking on telephone may be easy. But handle and answering calls with good phone etiquette is much hard. How did you handle your calls? Some times your reply may be harsh or irresponsible due to many factors. Here we offer you some nice tips how to speak very nicely on the phone.
1.While attend phone call just say ‘Hello‘ and introduce yourself with your name. If you receive calls other than your home phone like works, just say ‘how may i help you?’ Never say ‘heah‘ , ‘what‘ or ‘who is that?’
2.Always begin your conversation by introduce yourself, even it is a personal one.
3.After introduce yourself, request the caller details politely. Then ask him about his need.
4.If someone is calling to your phone and request to connect your co-worker in your works, if that specified person is not available, just reply them simply ‘i am sorry’ and update the status of your co-worker availability, and ask him to ‘would you like to leave any message to him?’
5.Never hold a call and keep the caller waiting more than a minute, unless if you are expecting very important call. Or else explain your position and request him to call back some time later.
6.If the caller didn’t know about you, just introduce yourself briefly when you start your conversation.
7.When you Finish your call just say ‘goodbye‘ or ‘take care‘ or ‘had a great day to you‘
8.If you are the one who making call, before start conversation introduce yourself briefly.
9.Never scream on phone line when you making calls or receiving calls, If you didn’t hear voice from the other end. The problem may be in your phone or your connection error. So, make sure the caller had a same problem and how he hear your voice in their end.
Always keep a pen and paper ready while attend phone call. It is very helpful taking notes and note down some important details about your conversation.
